ITEC 2025 Volunteer

Apply to become part of the Volunteer Team for ITEC Spain 2025

Volunteers are the engine that makes a conference run smoothly for all attendees. ITEC 2025 is looking for a team of volunteers to assist the hosts in making this conference a great experience for all. If you are interested in applying to be a volunteer, please read the requirements below and apply during your registration process.

Volunteer positions are limited, and only students can apply.

Volunteer Schedule and Organization

Shifts

Approximate times below. Some flexibility is required.

Volunteers will work in 6-hour shifts

  • Morning Shift: 9:00 AM to 3:00 PM
  • Afternoon Shift: 3:00 PM to 9:00 PM

Each volunteer will work a maximum of one shift per day, and depending on the number of volunteers, they may have completely free days.

Start Date

Volunteers are needed from the very beginning of the event on June 23, 2025, which marks the start of the competitions.

Briefing Meeting

A briefing session will be held early in the morning on June 23, before shifts begin. This meeting will cover:

  • Tasks and responsibilities.
  • Event layout and locations.
  • Points of contact for help or emergencies.
  • Rules and expectations.

Application and refund of registration fee

The volunteer must register and pay as other conference participants. Indicate on the registration form that you want to apply as volunteer. After completing all duties as a volunteer and once approved by the volunteer coordination team, the volunteer will receive up to their entire registration fee refunded within two weeks of the conclusion of ITEC 2025. This refund will credited back to the original credit card used during registration.

Support from the Host
The host will guide volunteers to ensure they meet a minimum commitment and ensure they can attend events that are most appealing to them and align with their career aspirations.

Safe and Respectful Environment
To be treated with respect and to work in an environment free from discrimination or mistreatment.

Recognition
To receive thanks and, if applicable, certificates or recognition for their contributions.

Training and Support
To have the necessary information and guidance to perform their tasks effectively.

Breaks and Resources
To have breaks during their shifts and access to water, food, and rest areas.

Clear Information
To be informed in advance about their schedules, responsibilities, and any changes.

Volunteer Benefits
To access activities, special areas, or event materials, if applicable.

Voluntary Participation
To collaborate voluntarily and have the option to step down from their role with prior notice.

Obligations of the Volunteer Team - ITEC Spain 2025

Reception and Access Control
To welcome and guide attendees, manage entry points, distribute credentials, and provide event information.

Logistical Support
To set up and dismantle event spaces, distribute materials, manage stage transitions, and assist with technical equipment.

Activity Support
To supervise warm-up rooms, manage access to competition areas, ensure adherence to break schedules, and control access to the concert hall.

Crowd Management and Safety
To direct attendee flow, communicate evacuation procedures, and collaborate with security staff during emergencies.

Access Control for Tuba and Euphonium Parking
To manage access to the reserved area for storing and transporting tubas and euphoniums, ensuring that only authorized personnel can enter the space.

Post-Event Activities
To gather feedback, inventory remaining materials, and participate in closing and appreciation activities.
